Objective:
To lay down a procedure to describe the steps to be followed for sampling of Packaging Materials.
Scope:
Applicable to all the Packaging materials received in plant.
Responsibility:
Officer/Executive- QC Packaging.
Accountability:
Head - Quality Control.
Procedure:
1. On the receipt of packing materials, Warehouse informs to the Quality control for sampling through Good Receipt Note (GRN).
2. Warehouse person must check details of ‘On Test’ labels against GRN.
Pre-sampling operation :
1. Determine the number of containers to be sampled as per sampling plan.
2. Check the condition, integrity and seal of individual container.
3. Separate out damaged containers.
Procedure For Confirm Physical Sample Drawing:
Sampling, collection procedure :
1. Ensure that surrounding area is clean.
2. Transfer the container (one type of material and one lot at a time) in the designated sampling area.
3. For packaging material supplied in rolls, perform sampling as per attachment – I. Discard first 5 feet of material and take approximate 8 – 10 feet of foil from each roll for analysis.
4. Withdraw the sample (for packaging material received in other than rolls) from containers as per the sampling plan

5. For packaging materials received in other than rolls, perform physical parameters and record the observation in the sampling observation sheet. Bring the samples specified in the attachment – V to laboratory to perform destructive tests / complete analysis and record the observations.
6. Collect the sample in a clean dry plastic bag and seal the bag.
7. Affix the label on the bag with following details duly filled in :
1. Name of Packaging material.
2. Inspection Lot No.
3. Date of receipt
4. Date of sampling
5. Quantity sampled
8. Affix the label “ Sampled” on the container from which sample is withdrawn and mention the following details on the label.

X : Sequential number of Container from which sample is withdrawn.
Y : Total number of containers to be sampled.
9. Make entry in the sequential log.
10. After sampling reseal the container received and return to under test area.
11. Bring the sample to QC – Packaging laboratory for analysis.
Procedure For Sampling Report Printing :
1. Switch On the PC.
2. Double click on the “SAP Logon” icon on the desktop.
3. Again double Click on “Log on” key and give user name and password and press “Enter” key in your Key board and SAP menu will open.
4. Click on “Command field” and type the Transactions code “ZSAM” and press “Enter” key (SAMPLING REPORT) and Sampling report screen will be open .
5. Enter all the mandatory fields like Plant , Lot creation Date ,Inspection Lot No.,and tick mark on “Packing material” and press ok key or F8 key.
6. Again enter all the mandatory fields like Packed in, Condition of Containers, Storage Condition,, No. of samples Inspected, critical Defects, Major Defects etc.
7. Press on Execute key or F8 key and print window will be open, and type printer name in “Output Device” field and press print key and collect the sampling report.
8. On completion of sampling report log off the SAP.
